Conselheiro Rosa e Silva, 1460,
clube, fora do VilaTT.
2. Dados que coletamos
Sua conta
- e-mail;
- nome e sobrenome;
-
endereço do seu perfil (
vilatt.com/u/seu-endereco);
-
a foto e a bio do perfil, se você as puser, e se o perfil é público
ou oculto;
- idioma escolhido (português ou inglês);
- se você quer receber por e-mail o lembrete do prazo;
- se o seu e-mail já foi verificado;
alguém compartilha o link, a prévia mostra o nome, a bio e a foto.
A foto
4).
card do dependente.
identificação do navegador e do sistema).
for excluído, ficam com o aceite o nome, o nome completo e o link do
Guardamos o e-mail, a
A Inscrição é
gestores do clube (Dirigentes e Colaboradores), a própria pessoa e, no
dependente, os responsáveis; os demais não. Quem abre o link do Evento
o do clube e o Evento.
A TRA e o
Guardamos quem fez a última alteração e
5º, II), e
tem regras próprias:
-
Quem decide: o clube é o controlador do parecer, e
apto a treinar) e quem o vê. Guardamos a versão desse texto, quem
marcou e quando. No dependente, quem marca é o responsável (LGPD,
art. 14, §1º); o dependente com acesso próprio vê e baixa o parecer,
mas não envia nem apaga.
-
-
Europeia (seções 4 e 5); a data e o registro do consentimento, no
hora, e o vencido, no dia seguinte à validade.
seguir.
A validade e o registro do
do clube, peça o apagamento a
é ele quem a informa a você.
Página do clube
As imagens ficam guardadas no
R2, o armazenamento de arquivos da Cloudflare (seção 4).
Verificação do clube
aparece a quem pede a Verificação; a tela mostra só a primeira letra
e o domínio (
m***@gmail.com);
-
expirar;
-
e, na recusa, o motivo;
-
chegar" abre o Google Maps, fora do VilaTT.
internet.
preliminares a ele (LGPD, art. 7º, V).
-
Proteger a plataforma e as contas e diagnosticar falhas
(IP, user agent, contagem de pedidos e registros técnicos de
acesso): com base no legítimo interesse (LGPD, art. 7º, IX) de
manter o serviço seguro e funcionando e evitar fraude e abuso,
usando só o mínimo necessário.
-
inscreveu e de quem está na Fila, a quem está logado e vê o Evento;
circulava no grupo do clube.
-
no legítimo interesse (LGPD, art. 7º, IX) de ajudar você a cancelar
no prazo e liberar a vaga para outra pessoa. Você desliga o lembrete
quando quiser, nas Configurações da sua conta.
-
apurar a denúncia.
-
Quem fez a
-
arts. 11, I, e 14, §1º), para o clube saber quem está apto a
treinar. O clube é o controlador; o VilaTT trata o parecer em nome
dele.
-
Evento e quem convidou): legítimo interesse (LGPD, art. 7º, IX) do
dele.
-
Exibir a página do clube (o conteúdo que o clube
publica): o clube decide o que publicar, e a base legal do dado
nome do clube.
-
Cloudflare: hospedagem do site e rede, guarda das
-
-
apoiam no art. 33, IX, combinado com o art. 7º, V, da LGPD.
-
-
transferência delas se apoia nessa adequação (art. 33, I, da LGPD),
inclusive quando uma imagem mostra uma pessoa.
-
A validade do parecer cardiológico e o registro do consentimento,
-
6. Cookies e armazenamento no navegador
-
Cookie de sessão: mantém você conectado (até 60
dias). Essencial para o login.
-
registro deixa anotado quem consultou, quando e o que foi entregue;
excluído do VilaTT.
-
-
-
exigi-lo, até a exclusão da sua conta ou até o clube sair do VilaTT;
clube: enquanto o clube existir no VilaTT.
-
lei.
9. Seus direitos
Pela LGPD (art. 18), você pode pedir:
- confirmação de que tratamos seus dados e acesso a eles;
- correção de dados incompletos, inexatos ou desatualizados;
-
tratados em desacordo com a lei;
- portabilidade dos dados a outro fornecedor;
- informação sobre com quem compartilhamos seus dados;
- exclusão da sua conta e dos seus dados;
O idioma você troca no próprio app. Nome, sobrenome, endereço do
atletas e retira o consentimento do parecer cardiológico, apagando-o,
no cadastro.
- nome e sobrenome, informados pelo responsável;
-
a bio, escrita pelo responsável, e se o perfil é público ou oculto;
-
a versão do texto declarado;
-
de qualquer pessoa que treina;
-
se um responsável aceita o convite do clube, a função de Atleta;
parecer cardiológico, enviado por um responsável (seção 2);
-
lembrete;
-
aparecer no Google. O dependente com acesso próprio corrige só o nome;
direitos (LGPD, art. 7º, VI). O lembrete do prazo de cancelamento
Tratamos
esses dados no melhor interesse do dependente (LGPD, art.
O parecer cardiológico é a exceção: segue o
consentimento do responsável, específico e em destaque (LGPD, arts.
11, I, e 14, §1º), dado na caixa do envio, e um responsável o apaga
quando quiser.
Quem vê
-
-
Num Evento, é o responsável quem inscreve o dependente. O nome do
convidado, quem convidou e a validade do convite (7 dias), e enviamos
A base é o legítimo
interesse (LGPD, art.
A exclusão apaga a
feed e pagamentos. Quando houver mudança relevante, avisaremos antes,
por e-mail, e atualizaremos a data no topo desta página.
12. Contato

Privacy policy
Last updated: November 2, 2026
This is a translation provided for convenience. If there is any
difference between the versions, the Portuguese text above prevails.
This policy explains, in plain language, what personal data VilaTT
processes, why, who it is shared with, and what your rights are under
Brazil's General Data Protection Law (LGPD, Law No. 13,709/2018).
1. Who we are
VilaTT is a management platform for table tennis clubs and a social
network for players. It is run by
MH Educação e Tecnologia LTDA, CNPJ (Brazilian
company registration) 38.660.685/0001-75, headquartered at Av.
Conselheiro Rosa e Silva, 1460, sala 1310, Graças, Recife/PE, Brazil,
CEP 52050-245. It is the controller of your account data: it decides
how and why that data is processed.
Clubs use VilaTT to offer Plans (regular and drop-in session plans)
and to organize practice: they record the Enrollments of the people
who train there, the schedule of Time slots, Bookings and
cancellations, the Waitlist, Reschedule credits and Attendance (the
no-shows marked by the Coach or the manager), the Athlete roster (who
competes for the club), the Events (club nights, clinics,
tournaments), with the Registrations and the Waitlist of each one,
and, if the club requires it, the cardiology clearance of the people
who train there. Payment is arranged directly with the club, outside
VilaTT. VilaTT also sends the email notifications tied to this use:
the cancellation deadline reminder, the Waitlist notifications, the
notice of a Session cancelled by the club and the Event notices.
The data each club records about the people who train there belongs to
the club, which is its controller. For that data, VilaTT acts as a
processor: it processes the data on the club's behalf, so the club can
provide its service to you, as set out in the
Club agreement.
The rules for using the platform are in the
Terms of use.
2. Data we collect
Your account
- email address;
- first and last name;
-
your profile address (
vilatt.com/u/your-address);
-
the profile photo and bio, if you add them, and whether the profile
is public or hidden;
- chosen language (Portuguese or English);
- whether you want to receive the deadline reminder by email;
- whether your email has been verified;
- account creation and update dates.
Your profile
Your profile, at vilatt.com/u/your-address, shows anyone,
with or without an account: your first and last name, your photo (or
your initials), your bio, the clubs where you are a Coach, with the
"Coach" label, the club where you are an Athlete, with the "Athlete
at" label and the club's name, the "Federated" badge, if it is marked,
and since when you have been on VilaTT (the month and year you created
the account). The clubs where you only train do not appear.
The profile starts out public: it goes into the sitemap we send to
search engines, may show up on Google and other search engines, and,
when someone shares the link, the preview shows your name, bio and
photo. You can hide it at any time, on the Profile screen, with the
"Public profile" switch. While hidden, the profile page disappears for
everyone except you: the address answers "Profile not found", it
leaves the sitemap and a shared link has no preview. A search engine
may take some time, at its own pace, to drop it from its results. The
photo is stored in R2, Cloudflare's file storage (section 4).
The "Public profile" switch covers VilaTT's public area. Inside the
clubs, your photo (or your initials) appears next to your name, even
with the profile hidden: to the staff of each club where you have a
membership (Director, Coach and Collaborator), in the lists of people,
enrollments, no-shows and who is going to each session; and, if you
are a guardian of a dependent, to the dependent's other guardians, on
the dependent's card. If you are an Athlete of a club, your name and
your photo (or your initials) also appear in the Athletes section of
its page, to anyone signed in to VilaTT, even with the profile hidden
(Athlete roster, below). To take the photo off these lists, remove it
on the Profile screen.
If you sign in with Google
We only ask Google for the basics (the openid,
email and profile scopes) and receive: your
Google account identifier, first name, last name, email address and
the address (URL) of your profile picture. If you have not yet
completed sign-up and the account has no photo, our server downloads
that picture from Google and stores a copy in R2, which becomes your
profile photo; after sign-up, the photo is only the one you upload or
remove. Thanks to the copy, whoever opens your profile loads the photo
from VilaTT, and Google does not receive that person's IP address. On
a dependent account, the Google picture is not stored (section 10).
The tokens Google returns at sign-in (access, refresh and ID token)
are used only to complete the sign-in and are not stored.
If you sign in with an email code
We email you a 6-digit code, valid for 5 minutes. In our database, the
code is erased when you use it or, if it is not used, shortly after it
expires. The copy in the email stays with Resend (section 4).
Your session
After you sign in, a cookie keeps you signed in for up to 60 days. For
each session we store the IP address and the user agent (the browser
and operating system identification).
If you accept the Club agreement
When a Director accepts the
Club agreement on the club's behalf, we
keep their membership in the club (and, through it, their name), the
version of the agreement, the date and time, and the IP address they
accepted from. If the club is deleted, the club's name, full name and
link and the name and email of the person who accepted stay with the
acceptance.
If you are invited to a role in a club
To invite someone to be a Director, Coach, Collaborator or Athlete,
the club gives us the person's email. We keep the email, the role, who
sent the invitation and its validity (7 days), and we send the invitee
an email with the name of who invited them, the club's name and the
role. When the Director invitation comes from us, for a club left
without any, the email also stays in the record of that action.
Someone who already has a membership in the club, including a
dependent, can be invited to the Athlete roster without anyone typing
an email: the invitation goes through the membership, and we email the
person or, if they are a dependent, their guardians, with the club's
name. While the invitation is pending, it also shows on the club page,
for them.
Athlete roster
The club shows who competes for it in the Athlete roster. Whoever
accepts the invitation appears in the Athletes section of the club
page, with their name, photo (or initials) and the "Federated" badge,
to anyone signed in to VilaTT, even with the profile hidden; a
dependent appears only to people with a membership in the club. They
also appear on their own profile, with the "Athlete at" label and the
club's name, which follows the profile's visibility, and on the club's
card in "My clubs". Each person is an Athlete of one club only:
accepting another club's invitation takes them off the previous
roster. You can leave whenever you want, on the club page, with "Leave
the Athlete roster"; the Director can also take you off, and
deactivating your membership in the club takes you off the roster.
Events and Registrations
When you register for a club's Event, or join its Waitlist, we keep
the Registration: your membership in the club (and, through it, your
name), whether you are registered, on the Waitlist or cancelled, the
order of arrival, when you moved up from the Waitlist, the Event's
price at the time you registered and, when there is one, the paid mark
the club adds (with who marked it and when), the cancellation (with
who cancelled and the reason) and the manager who registered you
directly or sent the invitation you accepted. If you had no membership
in the club yet, the Registration creates one, with no role, which
does not appear in the club's list of people. The Registration is the
club's data, and the club is its controller; we keep it on the club's
behalf.
Who sees it: your name, and the names of the people on the Waitlist,
appear on the Event's list to anyone signed in who can see the Event;
for an Event open to everyone, to anyone signed in to VilaTT, even
from outside the club. A dependent's name (the minor a guardian
registers) stays off that list: only the club's managers, the
dependent and their guardians see it, and everyone else sees only the
spot count. Whoever deletes their account also leaves that list: the
name stays only in the history the club's managers see. The paid mark
is seen by the club's managers (Directors and Collaborators), by the
person registered and, for a dependent, by their guardians; nobody
else sees it. Whoever opens the Event link without signing in sees the
Event's details and how many spots are left, with no names, and the
shared link shows only the title, the date and the club. To leave the
list, cancel your Registration before registration closes, or leave
the Waitlist before the Event starts. We email you when you move up
from the Waitlist to registered, when the club cancels your
Registration and when it cancels the Event.
If you are invited to an Event
To bring to an Event someone its rule would leave out, the club gives
us that person's email. We keep the email, the Event, who invited and
when, and send the invitee an email with the name of who invited, the
club's name and the Event. The invitation is valid until registration
for the Event closes. In our database, the invitation is deleted when
it is accepted, declined or cancelled; when it expires, or when the
Event is cancelled, it is removed on the next run of the cleanup
routine, which runs every 15 minutes. The database backups and the
email sent through Resend follow the periods of up to 30 days in
section 7.
Sports data
On the Profile screen, you can mark that you are Federated (registered
with the CBTM, the Brazilian Table Tennis Confederation) and give the
year of the last TRA (the CBTM's annual registration fee) you paid and
your CBTM registration number. The Director of the club where you are
an Athlete can also mark Federated and the TRA year, and a guardian
can mark all of it, for a dependent. It is yours, not the club's: it
stays with you if you switch clubs. "Federated" is public: it shows on
your profile, following its visibility, and in the Athlete roster. The
TRA and the CBTM registration are seen only by you, your guardians and
the Director of the club where you are an Athlete. We keep who made
the last change and when: if it was the Director, the Profile screen
shows you the club and the day.
Cardiology clearance (health data)
A club may require a cardiology clearance from the people who train
there: the cardiologist's document stating that the person is fit to
train. If it does, you (or the guardian, for a dependent) send on the
club page the expiry date written on the clearance and the file (PDF,
JPG or PNG). It is health data, sensitive personal data (LGPD, art. 5,
II), and has its own rules:
-
Who decides: the club is the controller of the
clearance, and we keep it on the club's behalf, as processor (Club agreement, section 3).
-
Consent: sending asks you to tick a box of its own,
which says what the clearance is for (knowing who is fit to train)
and who sees it. We keep the version of that text, who ticked it and
when. For a dependent, it is the guardian who ticks it (LGPD, art.
14, §1); a dependent with own access can see and download the
clearance, but cannot send or delete it.
-
Who sees it: the file, only the club's Director,
you and your guardians. The Coach and the Collaborator only see
whether you have no current clearance, in the list of who is going
to each Session; the Director also sees, in People and roles,
whether the clearance is up to date, expires within 30 days, has
expired or was not sent. The file has no public link: it is only
served, to those who may see it, at an address that requires
sign-in, and it is not kept in the browser cache.
-
Where it is kept: the file, in Cloudflare's R2, in
the European Union (sections 4 and 5); the date and the consent
record, in our database, in Brazil, and in its backups, stored in
the United States (section 5).
-
For how long: a replaced file is erased at once,
and an expired one the day after its expiry date. After expiry, we
keep the expiry date ("Expired on") and the consent record (the
version of the text, who consented and when) until one of the cases
below. The file, the date and the consent record are erased when you
delete the clearance, when the club stops requiring it, when your
membership in the club is deactivated (if you come back, you send it
again), when your account is deleted and when the club leaves
VilaTT; if the club asks for a copy of its data when leaving, the
copy carries the date and the consent record, not the file. The
expiry date and the consent record are part of the database backups
and, once erased, stop existing in them when they expire; the file
is not part of them.
-
Withdrawal: you withdraw your consent whenever you
want, free of charge, by deleting the clearance on the club page
("Delete clearance"). If the page is unavailable, including because
the club is suspended, ask for the deletion at
suporte@vilatt.com. On the
page, the file and the date leave VilaTT at once; through support,
we confirm when the request has been fulfilled. After that, the club
no longer sees them through VilaTT. The deletion does not reach a
copy a Director has already downloaded: that copy is the club's
responsibility, and the club must erase it when you ask, unless the
law requires keeping it.
-
If you do not send it: nothing changes on VilaTT,
which does not block Bookings or Enrollments because of the
clearance. The club may have its own rule for people who train
without one: that is its decision, outside VilaTT, and it is the
club that tells you about it.
If you use the contact form
The form on the home page (Talk to us) emails VilaTT your name, your
email and the message. The same form opens from the "Report this page"
link in the footer of a club page, and from the "Report this profile"
link on a profile page, and then also carries which page or profile
was reported. This data is not stored in our database: it reaches the
ola@vilatt.com inbox and is used only to reply to you.
Club page
What the Director and the Collaborator publish on the club page — the
text, the address, the phone, the WhatsApp number, the email, the
social links, the training times, the prices, the logo, the cover and
the photos — is public: anyone can see it, with or without an account.
We do not record who submitted each image or piece of information,
because the content belongs to the club (Terms of use, section 8). When it includes personal data, such as the phone of someone on
the staff or a person in a photo, it is the club that decides to
publish it and that must have the permission of whoever appears; we
store and display the content on the club's behalf. The images are
stored in R2, Cloudflare's file storage (section 4).
Club verification
Verification confirms that a club on VilaTT really is the club it
claims to be: a verified club gets the "Verified club" badge and the
link without the code at the end (vilatt.com/sport
instead of vilatt.com/sport-k7p2), if it is free. For
that:
-
we keep a copy of the public list of Federated Clubs of the CBTM
(the Brazilian Table Tennis Confederation): the name, the state and
the contact email the CBTM publishes for each club. That email is
never shown to whoever asks for verification; the screen shows only
the first letter and the domain (
m***@gmail.com);
-
when someone asks, we send that email a code, with the name and
email of the requester's account, so the club knows who is asking.
In our database the code is kept only scrambled (a hash),
is valid for 30 minutes and is erased when used or, if it is not,
shortly after it expires;
-
if the club prefers to prove it through Instagram, we keep the
profile's @, the code it puts in the bio, who asked, the status of
the request, the date and, if refused, the reason;
-
when the club's link changes (by switching the ending or by
verification), we keep the old link, which still leads to the new
one.
If you tap "View map" on a club page
The club page shows the address as text and, in place of the map, a
"View map" box. Nothing is sent to Google before you tap it. When you
tap, your browser loads the map directly from Google Maps, and Google
receives your IP address, the browser identification, the club's
address and the fact that the request came from VilaTT, and may set or
read its own cookies in your browser. The "Get directions" button
opens Google Maps, outside VilaTT. In both cases, what Google does
with this data follows
Google's privacy policy. The links to the club's WhatsApp and social networks also lead to
third-party services, with their own policies.
Security and usage limits
To prevent abuse, such as mass-sending codes to someone else's email,
we count requests per IP address (as reported by Cloudflare) and per
destination email. On the contact form, the IP address is used only to
limit messages to one per minute: the count stays at Cloudflare, and
we do not store the IP.
Technical access records
Each request to the VilaTT server creates a technical record at
Cloudflare: the page address, the date and time, the result, the IP
address, the user agent, the approximate location Cloudflare derives
from the IP (country, region, city and postal code) and the internet
provider. The session cookie and the content you send (such as your
email and sign-in code) are not part of this record.
Access log
While you are signed in, we keep the date and time, the IP address and
the source logical port of each connection to VilaTT: the one you sign
in from and each new connection after it, and again for each hour of
use of the same connection. The port is the number that, together with
the IP, identifies your connection when the internet provider shares
one IP among many customers. This is the record the Brazilian Internet
Civil Framework (Marco Civil da Internet, Law 12,965/2014, art. 15)
requires us to keep. It is kept confidential and only handed over to
third parties under a court order.
VilaTT measures page performance and visits with Cloudflare Web
Analytics, only as aggregate metrics, without cookies and without
identifying the visitor. It does not show ads and has no third-party
trackers. The only third-party content a VilaTT page loads is the
Google map, only when you tap "View map"; the profile photo, even one
that came from Google, is loaded from VilaTT. No VilaTT email has open
or click tracking.
3. How we use it and legal bases
-
Creating and keeping your account and letting you sign in
(account, Google, code and session data): necessary to provide the
service you asked for, based on the performance of a contract (the
Terms of use) and the steps prior to it
(LGPD, art. 7, V).
-
Protecting the platform and accounts and diagnosing
failures
(IP, user agent, request counts and technical access records): based
on our legitimate interest (LGPD, art. 7, IX) in keeping the service
secure and working and preventing fraud and abuse, using only the
minimum needed.
-
Keeping the access log (date and time, IP and port
of each signed-in connection): compliance with a legal obligation
(LGPD, art. 7, II; Marco Civil da Internet, art. 15).
-
Recording your use of each club (Enrollments, Fixed
slots, Bookings, cancellations, Waitlist, Credits and Attendance):
necessary to provide the service you contracted with the club, based
on the performance of a contract (LGPD, art. 7, V). The club is the
controller of this data; VilaTT processes it on the club's behalf.
-
Waitlist and cancelled-Session emails (email
address, language and the Session concerned): they tell you about a
change to your Booking or your spot, part of the same service, based
on the performance of a contract (LGPD, art. 7, V).
-
Recording your Registration for an Event (the
Registration, the Waitlist, the price, the paid mark and the
cancellation) and emailing you what changes in it: it is the
commitment between you and the club, based on the performance of a
contract (LGPD, art. 7, V). The club is the controller of this data;
VilaTT processes it on the club's behalf.
-
Showing who is going to the Event (the names of the
people registered and on the Waitlist, to anyone signed in who can
see the Event; a dependent's name, only to the club's managers, the
dependent and their guardians): based on the legitimate interest
(LGPD, art. 7, IX) of the people who register and of the club in
knowing who else is going, as in the list that used to go around the
club's group. Only the name, with no photo, without the paid mark
and never to anyone not signed in. You leave the list by cancelling
your Registration; to object to this processing, contact us through
the channels in section 9.
-
Cancellation deadline reminder (email address,
language, reminder preference and the Session where you have a
spot): based on our legitimate interest (LGPD, art. 7, IX) in
helping you cancel on time and free the spot for someone else. You
can turn the reminder off at any time in your account Settings.
-
Replying to the contact form (name, email and
message): our legitimate interest (LGPD, art. 7, IX) in replying to
whoever wrote to us and, when a page or a profile is reported, in
looking into the report.
-
Showing your profile (name, photo, bio, the clubs
where you are a Coach, the club where you are an Athlete, the
"Federated" badge and since when you have been on VilaTT), including
the copy of the Google photo: the profile is part of the service
described in the Terms of use, section 2,
based on the performance of a contract (LGPD, art. 7, V), and you
decide whether it is public. When we remove a reported photo or bio,
we keep a record of that action (who removed it, what and when),
based on the regular exercise of rights (art. 7, VI), also after the
account is deleted (section 7).
-
Showing your photo inside the clubs, even with the
profile hidden (to the staff of the clubs where you have a
membership and to the other guardians of your dependents): based on
the legitimate interest (LGPD, art. 7, IX), yours and the club's, in
the staff recognizing who trains there, without mixing up people
with similar names, and in guardians recognizing who shares the
dependent's account with them. You take the photo off these lists by
removing it on the Profile screen; to question this processing or
exercise your rights, contact us through the channels in section 9.
-
Showing the Athlete roster (the name, photo and
"Federated" badge of each Athlete, on the club page, to people who
are signed in): the roster belongs to the club, its controller, and
VilaTT displays it on the club's behalf. Appearing in it is what the
Athlete accepts when joining, and your photo and badge, which are
account data, enter it based on the performance of a contract (LGPD,
art. 7, V; Terms of use, section 2). You can
leave the roster whenever you want.
-
Sports data (Federated, the year of the last TRA
and the CBTM registration): performance of a contract (LGPD, art. 7,
V); it is part of your profile, which you keep, and the Director of
the club where you are an Athlete changes Federated and the TRA and
sees all three so the club knows who can compete in the federation's
categories. Who made the last change and when are kept too, on the
same basis, to show you when it was the club.
-
Keeping the cardiology clearance (the expiry date,
the file and the record of consent): your specific and prominent
consent, or that of the dependent's guardian (LGPD, arts. 11, I, and
14, §1), so the club knows who is fit to train. The club is the
controller; VilaTT processes the clearance on the club's behalf.
-
Proving acceptance of the Club agreement
(membership, version, date and time, and IP): the regular exercise
of rights (LGPD, art. 7, VI), so that VilaTT and the club can show
the acceptance if there is ever a dispute about the agreement.
-
Invitation to a role in a club (the invitee's
email, or their membership for an Athlete roster invitation, role,
who invited and validity): the club's legitimate interest (LGPD,
art. 7, IX) in building its staff; the club is the controller of the
invitation, and VilaTT handles it on the club's behalf. A Director
invitation we send to a club left without any rests on our
legitimate interest in giving management back to the club, and the
record of that action on the regular exercise of rights (art. 7,
VI).
-
Invitation to an Event (the invitee's email, the
Event and who invited): the club's legitimate interest (LGPD, art.
7, IX) in bringing to the Event the people it chose; the club is the
controller of the invitation, and VilaTT handles it on the club's
behalf.
-
Verifying the club (the copy of the CBTM list, the
email with the code, the Instagram request and the old links):
legitimate interest (LGPD, art. 7, IX) in preventing someone from
posing as a club. The CBTM publishes the email precisely for contact
with the club, and we use it only to send the code someone asked for
on the club's behalf.
-
Displaying the club page (the content the club
publishes): the club decides what to publish, and the legal basis
for the personal data in it, such as the permission of someone who
appears in a photo, is the club's, as controller; VilaTT stores and
displays the content on the club's behalf.
We do not sell your data or use it for advertising.
4. Who we share it with
Your data is only shared with providers that help us run VilaTT, and
only as far as each function requires:
-
Cloudflare: website hosting and network, storage of
the database backups, in the United States, and, in R2, storage of
the club page images (the logo, the cover and the photos), of
profile photos and of the cardiology clearance files, in the
European Union. Traffic goes through Cloudflare's global network.
-
Neon: database (Postgres), hosted on AWS in São
Paulo, Brazil.
-
Resend: sending the sign-in code email, the email
notices (deadline reminder, Waitlist, Session cancelled by the club
and the Event notices), the guardian invitation, the invitation to a
role in a club (including the Athlete roster one), the invitation to
an Event, the club verification code and notice and the contact form
message, from its São Paulo region. Resend is a United States
company and stores there the content of the emails, including the
sign-in code, and the sending logs, for 30 days.
-
Sentry: error tracking for the website and the
server, as a processor. It receives the errors without your name or
email, and does not store the IP address, only the approximate
location it indicates (such as city and country). It keeps the
errors for 30 days. Sentry is a United States company and stores
this data there.
-
GitHub: creates the daily database backup on a
temporary server, discarded at the end of each backup. GitHub is a
United States company.
-
Google: only if you choose to sign in with Google,
or tap "View map" or "Get directions" on a club page (section 2). In
those cases Google is not our provider: it receives the data
directly from you and is responsible for it. When we copy your photo
from Google (section 2), it is our server that requests it, and
Google receives the server's IP address, not yours.
-
Google Workspace: the
ola@vilatt.com
inbox, where the contact form message arrives. Google is a United
States company and stores the messages there.
We may also disclose data when required by law or by an order from a
competent authority.
5. International transfers
Our database is in Brazil, but some processing happens abroad, mostly
in the United States, which the ANPD does not recognize as a country
with adequate protection:
-
Cloudflare's hosting and network, the sending of the sign-in code
and of the notices by Resend, and the database backups (created on a
temporary GitHub server and stored by Cloudflare) are necessary to
provide the service you asked for. They therefore rely on art. 33,
IX, together with art. 7, V, of the LGPD.
-
The contact form message goes through Resend and stays in our Google
Workspace inbox: it is the way to the reply you asked for by writing
to us. It relies on our legitimate interest, with the same caveat as
the item below.
-
The errors in Sentry, the technical access records at Cloudflare,
and the deadline reminder, the guardian invitation, the role
invitation, the Event invitation and the club verification code sent
by Resend are based on legitimate interest. For them there is not
yet one of the mechanisms of art. 33, because these providers'
contracts do not include the standard contractual clauses approved
by the ANPD. In them we process only the minimum described in this
policy.
-
The club page images, the profile photos and the cardiology
clearance files are stored in Cloudflare's R2, in the European
Union, which the ANPD recognizes as providing adequate protection.
Their transfer relies on that adequacy (art. 33, I, of the LGPD),
including when an image shows a person.
-
The cardiology clearance's expiry date and the consent record, which
are health data, are also part of the database backups, stored in
the United States. This transfer relies on the specific and
highlighted consent that the person, or their guardian, gives when
sending the clearance, which states the international nature of
these backups (art. 33, VIII, of the LGPD); the clearance file is
not part of them.
-
Signing in with Google is not a transfer made by us: you give your
data to Google, which is responsible for it, and we receive only
what is listed in section 2. The same applies to the map and "Get
directions" on a club page: it is your browser that asks Google for
the map, when you tap, and we send Google nothing.
6. Cookies and browser storage
-
Session cookie: keeps you signed in (up to 60
days). Essential for sign-in.
-
Language cookie: remembers whether you prefer
Portuguese or English.
-
Light or dark theme: kept in your browser's
localStorage; it is not sent to us.
We do not use analytics, advertising or third-party cookies. The
exception is the Google map: when you tap "View map" on a club page,
Google may set or read its own cookies in your browser, under its
privacy policy (section 2).
7. How long we keep it
- Account data: for as long as the account exists.
-
Sign-in code: valid for 5 minutes and erased from our database when
used or, if it is not, shortly after it expires.
-
Emails sent (content and sending log): kept by Resend for 30 days.
-
Sign-in session: kept for up to 60 days and erased shortly after it
expires.
-
Contact form messages: in the
ola@vilatt.com inbox, for
up to 1 year after the last reply in the conversation.
-
Usage limit counts (IP or email and the number of requests): they
apply for 10 minutes, or for one day for the daily cap on code
sending, and are erased about a day later. The per-IP count of the
contact form stays at Cloudflare and applies for 1 minute.
-
Technical access records: kept for 7 days, to diagnose failures, and
erased by Cloudflare after that.
-
Access log: kept for 6 months and erased after that, or for longer
when the police, an administrative authority or the Public
Prosecutor's Office asks for it to be preserved (Marco Civil da
Internet, art. 15, §2). It is still kept after the account is
deleted, until the period ends, together with the account's email.
Each lookup of the log records who looked it up, when and what was
handed over; after 6 months, that record no longer says whose log
was looked up.
-
Link between guardian and dependent, with the date and version of
the statement and who invited them, when it came from an invitation:
for as long as they are a guardian; removed when they step down,
when the guardianship ends or when either account is deleted. When
the link ends, the statement is kept for 5 more years, with the
guardian's name and email, the dependent's name, the inviter's name
(when the link came from an invitation) and the date and reason of
the end, even after the accounts are deleted: it is the proof of who
stated they were the guardian, in case of a dispute (regular
exercise of rights, art. 7, VI).
-
Guardian invitation: until it is accepted, declined or cancelled, or
until it expires, as in section 10.
-
Invitation to a role in a club: until it is accepted, declined or
cancelled, or until it expires, in 7 days; an expired one is erased
shortly after. For a Director invitation sent by us, the record of
the action, with the email, stays while the club exists and for 5
more years after it is deleted, even after the invitee's account is
deleted.
-
Record of what we do in a club or a profile (the suspension, an
image removed from the club page, a removed photo or bio, the
Director invitation), with who acted, what the action was, when and,
when recorded, the reason: while the club or the account exists and
for 5 more years after it is deleted, with the club's name and link
or the person's name. The removed image is not kept: only the record
of the action. MH is the controller of this record, kept to
demonstrate our actions in possible judicial, administrative or
arbitration proceedings (LGPD, art. 7, VI).
-
Acceptance of the Club agreement (membership, version, date and
time, and IP): while the club exists on VilaTT and for 5 more years
after it is deleted, with the club's name, full name and link and
the name and email of the person who accepted, even after the
account of the person who accepted is deleted.
- Error records in Sentry: kept for 30 days.
-
Profile photo and bio: until you replace or remove them, or until
the account is deleted. A replaced or removed photo is erased from
R2 at once, and deleting the account erases it too; a deleted bio
stops existing in the database backups when they expire. The record
of a photo or bio removed by us stays while the account exists and
for 5 more years after it is deleted.
-
Club page content: for as long as the club keeps it, even after the
account of the person who submitted it is deleted, and until the
club is deleted from VilaTT. A replaced or removed image is erased
from R2 at once; deleted text stops existing in the database backups
when they expire.
-
Athlete roster: for as long as you are an Athlete of the club;
removed when you leave the roster, when the Director takes you off,
when your membership is deactivated or when you accept another
club's invitation.
-
Registration for an Event: for as long as the club exists on VilaTT,
the cancelled one included, which stays as the Event's history;
removed with the Event or with the club. Deleting your account does
not delete it: your name stays in the club's history, as below.
-
Invitation to an Event: until it is accepted, declined or cancelled;
the expired one (when registration for the Event closes) and the one
for a cancelled Event are removed on the next run of the cleanup
routine, every 15 minutes. In the database backups and at Resend, up
to 30 days, as above.
-
Sports data (Federated, TRA and CBTM registration): for as long as
the account exists, also after you switch clubs. What you unmark or
erase is removed at once and stops existing in the database backups
when they expire.
-
Cardiology clearance: the file, until its expiry date (it is erased
the day after), until you replace or delete it, until the club stops
requiring it, until your account is deleted or until the club leaves
VilaTT; the date and the consent record, until one of these, except
expiry (section 2).
-
Copy of the CBTM list of Federated Clubs: until the next import,
which replaces it entirely.
-
Code for verification by the CBTM email: valid for 30 minutes and
erased from our database when used or, if it is not, shortly after
it expires.
-
Instagram verification request (with the @) and the club's old
links: while the club exists on VilaTT.
-
Database backups: one per day, kept for 30 days and erased after
that. A deleted account, or erased data, stops existing in the
backups when the last one made before the deletion expires.
When an account is deleted, we erase its data, with the exceptions
described in this section, for the stated periods: records the law
requires us to keep, such as the access log, and evidence kept for
possible disputes, such as the guardian's statement. The sports data
and the cardiology clearance are erased with the account. Your name
stays in the history of each club you trained at: that data belongs to
the club, which is its controller, and a request to erase it goes to
the club itself or to
suporte@vilatt.com. The same
applies to content you published on a club page: it belongs to the
club and stays.
8. Security
All access to VilaTT goes over an encrypted connection (HTTPS). There
are no passwords: you sign in with Google or with a one-time code.
There are limits on attempts and on code sending to make attacks
harder, and access to the database is restricted. No system is
entirely immune to failures; if a security incident may bring you
relevant risk or harm, we will notify you and the ANPD (Brazil's data
protection authority), as the law requires.
9. Your rights
Under the LGPD (art. 18), you can ask for:
- confirmation that we process your data, and access to it;
- correction of incomplete, inaccurate or outdated data;
-
anonymization, blocking or erasure of unnecessary data or data
processed in breach of the law;
- portability of the data to another provider;
- information about who we share your data with;
- deletion of your account and data;
- review of decisions made solely by automated means.
You can change your language in the app itself. You correct your name,
profile address, photo, bio, Federated, the TRA and the CBTM
registration on the Profile screen, where you can also hide your
profile. You leave the Athlete roster, and withdraw your consent for
the cardiology clearance by deleting it, on the club page. For any
other request, write to
suporte@vilatt.com.
Accounts cannot yet be deleted from within the app: deletion is
requested by email.
Before deleting, we confirm the request by sending our own email to
the account's address.
If you appear in a photo on a club page, or some of your data is on
it, and you want it removed, ask the club itself or use the "Report
this page" link in its footer; you can also write to
suporte@vilatt.com. If it is
an image, we can remove it ourselves.
If someone else's profile shows you, or some of your data, without
permission, use the "Report this profile" link on its page, or write
to suporte@vilatt.com. We can
remove the photo or the bio.
If you believe your rights have not been respected, you can also file
a complaint with the ANPD at
gov.br/anpd.
10. Minors
A VilaTT account of your own is for people aged 18 or over, as stated
when signing up. People under 18 use VilaTT through a dependent
account, created by a guardian who states that they are the
dependent's parent or legal guardian (Terms of use, section 5). This section explains to guardians, and to the
dependents themselves, how we handle their data.
What data about the dependent we process
- first and last name, given by the guardian;
-
the bio, written by the guardian, and whether the profile is public
or hidden;
-
who their guardians are and, for each one, the date of their
statement and the version of the statement text;
-
the use of each club where they train: enrollments, fixed slots,
Bookings, cancellations, Waitlist, credits and Attendance, as for
anyone who trains;
-
if a guardian accepts the club's invitation, the Athlete role;
Federated, the TRA and the CBTM registration, marked by a guardian
or by the Director of the club where they are an Athlete; and, if
the club requires it, the cardiology clearance, sent by a guardian
(section 2);
-
the email notices tied to that use, the language and the reminder
preference;
-
with own access on, their email and, when they sign in, the session
and the access log, as in section 2.
The dependent has no photo: they appear with their initials, and even
if they sign in with Google we do not store the Google account photo.
Without own access, their account has no email of theirs: instead,
there is a technical address that never receives messages. We do not
ask for the date of birth.
The dependent's profile starts out hidden: only the dependent and the
guardians can see it. Only a guardian, acting as the dependent, can
make it public. Then the profile shows, to anyone who has the link,
the name, the bio, since when the dependent has been on VilaTT and, if
they are an Athlete, the "Athlete at" label with the club's name and
the "Federated" badge, but it stays out of the sitemap and asks search
engines not to list it (the noindex tag), so that it does
not show up on Google. A dependent with own access can only correct
their name; the bio and the "Public profile" switch stay with the
guardians.
What for and on what legal basis
To provide the service the guardian contracted for the dependent: the
account, the use of clubs and the Waitlist and cancelled Session
notices, based on the performance of a contract (LGPD, art. 7, V),
entered into by the guardian, with their statement recorded. We do not
ask for consent for this. When the link ends, we keep the statement
for 5 more years (section 7), based on the regular exercise of rights
(LGPD, art. 7, VI). The cancellation deadline reminder relies on
legitimate interest, as for everyone (section 3), and the guardian
turns it off in the account Settings, acting as the dependent. We
process this data in the dependent's best interest (LGPD, art. 14):
only what the use of the club requires, with no advertising and with
the profile hidden, unless a guardian makes it public, which is the
guardian's choice within the same contract. For the data on the use of
each club, the club is the controller (section 1). The cardiology
clearance is the exception: it relies on the guardian's specific and
prominent consent (LGPD, arts. 11, I, and 14, §1), given in the box
shown when sending, and a guardian deletes it whenever they want.
Who sees it
-
The guardians see and do everything in the dependent's account,
through the profile switcher, and see each other's name, email and
photo, and the email of anyone invited who has not yet replied.
-
Each club where the dependent trains sees the same as it sees of
anyone who trains there, with the dependent mark, and the name and
email of each guardian: the club knows whom to talk to and checks
the family when confirming the enrollment.
-
In the Athlete roster, the dependent appears, without a photo, only
to people with a membership in the club. The roster invitation goes
to the guardians, and one of them accepts or declines it.
-
For an Event, a guardian registers the dependent. The dependent's
name does not appear to the other people registered nor to anyone
who just opens the Event: it is visible to the dependent, their
guardians and the club's managers (Directors and Collaborators), and
everyone else sees only the spot count (section 2). A dependent with
own access cancels their own Registration and leaves the Waitlist,
but does not register alone.
-
The dependent's email notices (cancelled Session, Waitlist spot,
Event notices and deadline reminder) go to each guardian, in their
own language, and to the dependent when own access is on. No email
shows another recipient's address.
Guardian invitation
For one guardian to invite another, we keep the invitee's email, who
sent the invitation and its validity (7 days), and we send the invitee
an email with the name of who invited them and the dependent's name.
Anyone who does not know the person who invited them can ignore it.
The legal basis is the guardians' legitimate interest (LGPD, art. 7,
IX) in sharing the management of the dependent's account. The
invitation is removed when it is accepted, declined or cancelled, and
an expired one is erased shortly after it expires.
Own access
Any guardian can turn on the dependent's own access, giving the
dependent's email, and turn it off at any time. With own access on,
the dependent signs in alone and can do part of the actions (Terms of
use, section 5), and the guardians keep seeing and doing everything.
Turning it off signs the dependent out of every device at once and
blocks new sign-ins; the email stays stored for turning it back on.
Changing the email also removes the Google sign-in linked to the
previous address.
When the dependent turns 18
A guardian ends the guardianship, stating that the dependent has
turned 18 or has been emancipated. The links to the guardians and the
pending invitations are removed, and the account becomes the
dependent's alone, with everything that is already theirs. The
statements are kept for 5 more years (section 7).
Rights, deletion and reporting
Any guardian can exercise the rights in section 9 on the dependent's
behalf and ask for the dependent's account to be deleted, by writing
to suporte@vilatt.com; the
confirmation of the request goes to the guardian's email. Deletion
erases the dependent's account, the links to the guardians and the
invitations; their name stays in the history of each club, as anyone
else's, and in the guardians' statements, until 5 years have elapsed
since each link ended (section 7); deleting the account does not
restart this period. The account of someone who is a dependent's only
guardian is deleted only after another guardian takes over, the
guardianship ends or the dependent's account is deleted. The same
channel receives reports of content or conduct that violates the
rights of children and adolescents.
If you are the guardian of a minor who created their own account,
without being a guardian's dependent, write to
suporte@vilatt.com to find out
what data we hold about them or to ask for its deletion. When we learn
that an account of one's own belongs to a minor, we delete it.
